Only Administrators can modify or delete files uploaded and stored in the tracFile system.
When currently logged into an account with the admin role navigated to the Administration category and select Files to navigate to the files grid page.
To modify or delete a file:
- First, click on the Administration tab to expand this section and see the options it contains.
- Then, click on Files to open the Files data grid, as shown below:
The column furthest to the right allows the user to either edit or delete a file by clicking the relevant link.
Edit a file
Find the desired file to edit and click Edit. The following pop-up screen will open:
- Modify the File Description.
- Replace the attached file with another file on your computer by clicking the Choose File button and select the replacement to upload.
- Download an attached file if by clicking the relevant link.
(Note: The Allow this file to be attached anywhere?, File author, and Dates fields cannot be modified.)
In the same screen described above one may view who has accessed public files (those that can be shared anywhere) and private files, in the grid at the bottom of the form.
To see a more accurate Date accessed click View, which will open another screen to see which user accessed the file and at what time.
When finished click Save to save the changes made.
Delete a file
If you want to delete a file, click the Delete link to the right of the desired entry in the Files grid.
A pop-up message will appear asking you to confirm deletion of the record.
If Yes is selected the system will proceed to take action. There are two possible outcomes:
If the file has been included as an attachment by other users, it will not be deleted. This measure has been put in place to avoid unintentionally affecting other forms and entries in the system. However, deleting a file permanently can be accomplished once it has been deleted from any other entities where it was included.
For example, in the case below, the file has to be removed from Supplier Types, Suppliers, Customer Contracts and Supplier Contracts before being permanently deleted.
- If the file has not been included by any other user in any other entry, it will be successfully deleted.
